Identify Goals & Objectives

While going through the journey of setting up a new platform with MangoApps, it’s essential to go in with a full plan complete with goals and objectives. It’s likely that you have already gone through  this process  or you are currently going through it, if not now is as good a time as any.

Identify Corporate Needs

Begin with collecting the specifications and analyzing the requirements for the business. By establishing what is most important for the company this will allow a clear plan for setup and specific metrics to measure success. What is the vision statement in creating the new platform? Are there current communication systems that will be disabled? How will those functions transfer into MangoApps? What initiated the search for a new collaboration solution? How will MangoApps solve this need? By creating definitive business objectives that align to overall company goal will aid in a precise roadmap for setting up MangoApps.

Example: A retail vendor with multiple brands needed to have an interactive platform to aid in collaboration between the brands. In addition to being able to communicate at a corporate level, each brand would need a separate workspace to focus on their specific projects. Having a platform to assist in these functions was important to the retail company to broadcast company-wide news and share best practices across each brand.

Identify Member Needs

Consult with a wide variety of employees with a range of job functions to provide a guideline of imperative features in the new platform. Discover what employees pain points are, how they use any current platforms, and what they would like to see in MangoApps. What current features are effective/ineffective? Are there any processes that are currently being done in a traditional method (email, paper, fax) that can be more effectively handled in MangoApps? What will make MangoApps fundamental for daily job functions? Collecting the feedback from employees and implementing crucial components will ensure successful adoption of MangoApps.

Example: The previous intranet at a banking institute just became a file repository. Employees wanted something to be able to easily find and navigate to important documents. They have beeb able to transfer forms that had previously been distributed through email and manually collected into their platform to efficiency to the workflow.

Describe Potential Use Cases

Determine a couple use cases that will show value of the new platform. Each use case should consider all business goals and how it can help work-related activity. One way to create use cases is to move functionality to perform an employee’s work to MangoApps. This could be storing all company documents in Files, shifting all Project collaboration, or incorporating all HR information into MangoApps. By moving all necessary information into the new platform, employees will need to navigate in MangoApps to find their answers. Another method to create use cases is to create a couple scenarios for collaboration that can be facilitated in MangoApps. These scenarios could be communication that currently is being done through email, phone call and meetings. Additionally it is helpful for these scenarios to be cross-functional or across various office locations. Each use case that is determined will be a good learning experience during a soft launch and potentially a testimonial on how the new platform works.

Example: One marketing agency wanted to create a team of people to work on a detailed product launch for a customer of theirs. Previously the challenge had been all the individuals were spread across offices in different timezones. Being able to have a workspace where each could contribute and have full transparency to the team helped with correspondence without scheduling dozens of conference calls.

Describe Success Metrics

 Establish what factors will be looked at to determine success. These metrics should correlate to the roadmap and goals of the new platform. If you are moving all project collaboration to MangoApps, creating benchmarks for active users would show participation. By storing all company documents in MangoApps, engagement might be measured by content contribution. The basic categories of metrics can be broken down into connectivity, activity, and popularity. Once the company objectives have been identified, construct benchmarks on metrics to determine how effective the new platform has been implemented.

Example: In one employee survey at a construction company stated only 14% of employees felt “very confident” about being able to locate HR benefits. They included in their success metrics to raise the percentage to 60% within 6 months of launching the new platform and 85% by one year.
